Privacy notice
A plain-language summary of what Inico Media collects when you contact us, why, and how to ask us to delete it.
Last updated October 29, 2026
What we collect
When you use the contact form or a package inquiry form, we collect the details you type in:
- Your name and email address
- Your company and phone number, if you provide them
- Your message, plus any package, budget and timeline you choose
- Which form you used (for example, the contact page or the packages page)
- Whether you ticked the optional marketing-email box, with its exact wording and the date
Please don't send sensitive information such as financial account numbers or health details through these forms.
How we use it
We use your details to reply to your inquiry, prepare a proposal and manage our relationship with you if you become a client. Submissions are stored in our private admin system and emailed to our team. We don't sell your information.
We send you marketing email only if you tick the optional box on our forms. Every marketing email identifies Inico Media, includes our contact details and has a working unsubscribe link. You can withdraw your consent at any time by unsubscribing or emailing us.
Who handles it, and where
These service providers process data on our behalf to run this site and our forms:
- Cloudflare: delivers this website
- Railway: hosts our forms and admin system
- Resend: sends the email notifications for new inquiries
- Calendly: handles scheduling, only when you open the booking calendar (covered by Calendly's own privacy policy)
- DomainEx: measures ad performance (see below)
- Meta (Facebook and Instagram): measures ad performance (see below)
- Google (Analytics, Tag Manager and the Google tags it loads): measures site visits and ad performance (see below)
These providers may store or process your information outside Québec and outside Canada, including in the United States, where it is subject to local law. We choose providers that protect personal information and use them only for the purposes described here.
Measurement tools
We use the Meta Pixel (Facebook and Instagram), Google Analytics, Google Tag Manager with the Google tags it loads, and a DomainEx pixel to measure which of our ads bring visitors and inquiries. Where the law requires your agreement first (Québec, the European Union, the United Kingdom and Switzerland, or if we can't tell where you are), they stay off until you choose Allow. Elsewhere they start when you arrive and stop when you choose Decline; your choice is remembered on later visits. To apply the right rule we check your general location (country and province) from your connection when the page loads; we don't store it. If on, these tools may collect standard technical information such as pages visited, browser, IP address and referring site, and Meta and Google may link visits to your accounts with them under their own privacy policies. When a form is sent we report that an inquiry happened (the form name and package chosen), not your name, email or message. You can change your choice at any time with Privacy choices in the footer. Our own cookies are used only for the private staff sign-in area. Your theme and privacy choices are saved in your browser only.
How long we keep it
Inquiries that don't lead to working together are deleted automatically 24 months after we receive them. If you become a client, we keep your information for as long as we work together and afterwards only as long as the law requires, for example for tax records.
Your rights
Under Canada's federal privacy law (PIPEDA) and, for Québec residents, Québec's private-sector privacy law (Law 25), you can ask to see the information we hold about you, correct it, withdraw your consent, or have it deleted. Québec residents can also ask for a copy in a commonly used technology format.
Email [email protected] with the subject "Privacy request". We confirm receipt within 1 business day and answer within 30 days. If you are not satisfied, you can complain to the Office of the Privacy Commissioner of Canada or, in Québec, the Commission d'accès à l'information.
